- Compensation: $30.00-$32.00 per hour
Executive Assistant Job Description
The main function of the Executive Assistant is to provide high-level administrative support by conducting research, handling information requests, and performing clerical functions. This position will act as information and communication managers for an office.
What you’ll do as an Executive Assistant:
- Exercise discretion in organizing and maintaining the electronic calendar including managing telephone calls and visitors
- Arrange and coordinate appointments, meetings, and functions
- Prepare and provide the appropriate documentation to assist with meetings
- Provide support with calendar and email management, coordination of conference calls and meetings
- Coordinate domestic and international travel arrangements including logistics, agendas, itineraries, flights, and accommodations
- Provide administrative services for executive leadership team meetings and other meetings, including distributing relevant materials and agendas, and preparing and distributing accurate minutes to a high-quality standard in a timely manner
- Prepare drafts of correspondence, agendas, presentations, and other documents in response to verbal and/or written instructions, to a high degree of accuracy and presentation
- Prepare expense reports for the executives
- Act as liaison for internal customers and key contact for executive contacts and customers
- Prepare invoices, reports, memos, letters, financial statements, and other documents
What you’ll bring to the Executive Assistant role:
- Bachelor’s degree
- 5+ years of experience in an Executive Assistant role
- Excellent organizational, project management and problem-solving skills with a high attention to quality and detail
- Experience with calendar management for multiple executives
- Ability to understand and meet deadlines with minimal supervision
- Ability to uphold strictest level of confidentiality and effectively manage sensitive information with professionalism and speed
- Demonstrated initiative with the ability to work independently and be resourceful, anticipating and communicating potential issues
- Willingness to respond to urgent project needs and shifting priorities
