About the Role
We are seeking a detail-oriented Administrative Assistant to support a major client in the insurance sector. This temporary position provides wide-ranging administrative, operational, and access-management support across multiple business workstreams. The ideal candidate is highly organized, adaptable, and confident working in a dynamic, fast-moving environment.
Job Description
Administrative Support Services
  • Change Monitoring & Cost Controls: Track software and service requests; coordinate costs, approvals, and billing for non-standard items.
  • Access & Infrastructure Support: Process Active Directory (AD) group replacements, virtual machine (VM) requests, and related access actions.
  • SOW Governance: Monitor scope variances and support alignment of invoices with contract terms.
  • Onboarding Coordination: Process new user additions, system replacements, AD group updates, and application approval workflows.
  • Access Validation: Ensure all access requests comply with scope agreements; prevent unnecessary permissions or role-based carryover.
  • Offboarding & Role Changes: Manage departures and role transitions, including timely deprovisioning.
  • Quarterly Access Reviews: Audit system access and initiate removal of outdated or unnecessary permissions.
  • Business Unit Support: Respond to inquiries regarding system access, replacements, and device/VM needs; provide pre-access documentation for validation.
Cyber Project – Quantum Data Strategies & Readiness
  • Partner with cybersecurity leadership to define data collection needs.
  • Gather Quantum readiness information from strategic partners.
  • Organize and consolidate partner submissions for review.
Operations Support
  • Manage USCIS inquiries and Visa support letter requests.
  • Assist with planning and logistics for charitable and community events.
  • Maintain supplier contact lists and organizational charts.

Qualifications
Required Qualifications:
  • Strong administrative and organizational skills with the ability to manage multiple concurrent workstreams.
  • Proficiency with Microsoft Office (Excel, Word, Outlook, Teams) and SharePoint.
  • Effective written communicator able to engage with cross-functional teams and external partners.
  • Self-directed, adaptable, and comfortable working in evolving environments.
  • Demonstrated curiosity and a growth mindset; seeks context, asks thoughtful questions, and looks for process improvements.
  • Comfortable using AI productivity tools (e.g., Claude or similar) for summarization, documentation, and workflow efficiency.
Preferred Qualifications:
  • Experience with onboarding/offboarding processes, access management, or IT administration.
  • Familiarity with Fieldglass (provisioning/deprovisioning).
  • Experience supporting cybersecurity, data-readiness initiatives, or technical workstreams.
