Our client, a professional services organization that supports legal and claims-related processes, is seeking a Customer Service Representative focused on medical records management. This position plays a critical role in coordinating with healthcare providers and records custodians to obtain, track, and manage medical records while ensuring accuracy, confidentiality, and regulatory compliance.

Job Description
The Customer Service Representative will be responsible for managing the medical records retrieval process through frequent communication with healthcare facilities and records custodians. This role requires strong customer service skills, attention to detail, and the ability to accurately document information in internal systems.
Key Responsibilities:
  • Conduct high-volume outbound calls (70-80+ calls per day) to healthcare facilities and medical records departments
  • Request, retrieve, and follow up on medical records from providers and records custodians
  • Fax medical authorizations and supporting documentation as needed
  • Track the status of medical record requests and ensure timely follow-up
  • Accurately document communications, updates, and request details within the company database
  • Perform data entry related to new and ongoing medical records requests
  • Maintain organized records and workflows while managing multiple requests simultaneously
  • Handle confidential information in accordance with privacy and company policies
  • Communicate professionally with healthcare providers, records custodians, and internal stakeholders
  • Utilize general office equipment, including phones, fax machines, printers, and scanners
Schedule:
  • Monday-Thursday: 8:00 AM - 5:00 PM
  • Friday: 8:00 AM - 12:00 PM
  • This position is fully onsite and not eligible for remote work.

Qualifications
Required Qualifications:
  • High school diploma or equivalent
  • 1-3 years of customer service experience
  • Strong computer proficiency and data entry skills
  • Excellent verbal and written communication skills
  • Ability to maintain confidentiality and handle sensitive information
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment
  • Comfortable making a high volume of outbound calls daily
  • Experience using standard office equipment, including phones, fax machines, printers, and scanners
  • Reliable attendance, punctuality, and commitment to working scheduled full-time hours
Preferred Qualifications:
  • Experience working with medical records, healthcare administration, legal support services, or related fields
  • Familiarity with records request processes and documentation management
  • Experience working with databases, case management systems, or CRM platforms
  • Knowledge of healthcare privacy and confidentiality requirements
  • Previous experience in an office-based customer service environment
