Job Description
The HR Shared Services Specialist provides centralized administrative, compliance, and systems support across HR operations. Reporting to HR leadership, this role ensures accurate, consistent, and compliant processing of HR transactions while reducing administrative workload for HR Business Partners and Centers of Excellence.
This position focuses on onboarding compliance, HRIS administration, employee data integrity, leave administration, acquisition support, and HR operational logistics. The ideal candidate brings strong attention to detail, a customer-service mindset, and experience supporting HR processes in a multi-location environment.
Key Responsibilities include:
- Execute and maintain compliant onboarding and employment verification processes, including I-9 administration and required reporting
- Perform accurate HRIS transactions, data updates, audits, and documentation management to ensure data integrity
- Support acquisitions and employee transitions by coordinating offers, onboarding activities, system access, and employee records
- Coordinate leave-of-absence processes with internal HR partners and third-party vendors to ensure compliance and timely processing
- Serve as a centralized point of contact for HR operational inquiries, ensuring consistent communication and follow-through
- Support talent acquisition operations, including posting open positions, managing recruitment-related administrative tasks, and maintaining accurate system documentation
- Manage centralized HR supplies and branded materials, supporting inventory tracking and cost control
- Assist with additional HR operational activities and process improvement initiatives as business needs evolve
Qualifications
Required Qualifications
- Associate’s degree in Human Resources, Business Administration, or a related field, or equivalent professional experience
- 3–5 years of experience in HR operations, HR administration, or a shared services environment
- Working knowledge of employment compliance requirements, including onboarding, employment verification, and recordkeeping
- Experience performing high-volume HRIS transactions with a strong focus on accuracy and data integrity
- Strong organizational skills with the ability to manage multiple priorities in a deadline-driven environment
- Proficiency with Microsoft Excel and comfort working with data files, reports, and bulk updates
- Clear, professional communication skills and the ability to collaborate effectively across HR, IT, and business teams
- Experience supporting HR compliance initiatives, including monitoring law and regulation changes across multiple locations
- HR Generalist background with exposure to a broad range of HR functions
- HRIS experience (such as Workday, ADP, UKG, or similar platforms)
- Familiarity with leave-of-absence administration and coordination with third-party vendors
- Experience supporting talent acquisition operations or working within a shared services HR model
- Experience supporting multi-location or manufacturing environments
