About the Role
Our firm is partnering with an established organization in the healthcare and medical technology industry to hire an Operations Account Coordinator. This role plays a critical part in ensuring a high-quality experience for both internal and external customers by providing timely, accurate, and professional support. The ideal candidate is customer-focused, detail-oriented, and comfortable working independently or collaboratively in a fast-paced, hybrid work environment.
Job Description
The Operations Account Coordinator is responsible for managing customer interactions and operational requests across multiple channels, including phone, email, online chat, and in-person communication. This individual serves as a key liaison between customers, sales representatives, and internal stakeholders to support order processing, account management, and inventory coordination.

Key responsibilities include:
  • Responding to customer and sales inquiries related to account status, order fulfillment, patient data, and account history
  • Processing customer requests, including order placement, invoicing, and return goods authorizations
  • Setting up and maintaining customer accounts with accuracy and attention to detail
  • Communicating customer feedback, concerns, and inventory-related issues to appropriate internal teams
  • Administering implant registration records by reviewing and entering implant data and following up on U.S.-based implant registrations
  • Following established procedures for Medical Device Reporting (MDR) and adverse event documentation
  • Collaborating with accounts payable teams to resolve aging or outstanding invoices
  • Assisting with inventory allocation to prevent or minimize back-order situations
  • Supporting distribution activities related to corporate office inventory movement
  • Performing additional duties as assigned to support business operations

Qualifications
Required Qualifications:
  • Bachelor’s degree or equivalent combination of education and experience
  • 1–2 years of experience delivering high-quality customer service, preferably within a healthcare or regulated environment
  • Strong attention to detail with effective follow-up skills
  • Excellent written and verbal communication skills
  • Strong time-management and prioritization abilities
  • Demonstrated ability to learn quickly and adapt to changing priorities
  • Ability to problem-solve and work independently with minimal supervision
  • Comfort working in a fast-paced, hybrid work environment
Preferred Qualifications:
  • Prior experience in healthcare, medical devices, or a regulated industry
  • Experience working with order management, inventory systems, or customer relationship management (CRM) tools
  • Familiarity with invoicing processes or implant/device registration workflows
