In this part-time position, you will assist with a variety of HR and accounting tasks, ranging from billing and data entry to client communication and reconciliation of reports. This role requires someone who is proficient in Excel, adaptable to different systems, and possesses a keen eye for accuracy and organization.
What you'll do as the Administrative Assistant:
- Assist in the preparation and processing of invoices, ensuring accuracy and completeness.
- Perform data entry for various accounting and HR-related transactions.
- Review files and documents for completeness and accuracy, maintaining meticulous attention to detail.
- Engage in client communication for accounts receivable follow-ups, demonstrating strong interpersonal skills.
- Collaborate with team members to categorize transactions accurately to appropriate job codes.
- Execute scanning and electronic filing tasks to maintain organized and easily accessible records.
- Reconcile reports between different systems to identify discrepancies and ensure data consistency.
- Provide support in the overall maintenance of accounting and HR databases.
- Contribute to the continuous improvement of processes and procedures, suggesting efficiencies where applicable.
- Collaborate with colleagues to ensure the smooth flow of information between HR and accounting departments.
What you will bring to the Administrative Assistant role:
- High School Diploma or equivalent; Associate or Bachelor's degree in accounting, finance, HR, or related field is a plus.
- 1-2 years of experience in HR and accounting tasks, including billing, data entry, and client communication.
- Proficiency in Microsoft Excel is essential; experience with spreadsheet functions and data manipulation is required.
- Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
- Excellent attention to detail and a commitment to maintaining accurate records.
- Effective written and verbal communication skills for client interaction and team collaboration.
- Demonstrated adaptability and willingness to learn new systems and software.
- Previous experience in Accounts Receivable follow-up and reconciliation is a plus.
