Our firm is partnering with a well-established higher education institution in the St. Paul, Minnesota area to identify a Payroll Administrator. This role supports a complex, multi-state payroll environment within an academic setting and plays a key role in ensuring employees are paid accurately, on time, and in compliance with all applicable regulations. The ideal candidate will be detail-oriented, adaptable, and comfortable working in a deadline-driven environment with a diverse employee population, including faculty, staff, and student workers.
Job Description
The Payroll Administrator is responsible for processing bi-weekly, in-house payroll and managing payroll-related compliance activities. This position works closely with Human Resources and provides customer-focused support to employees regarding payroll questions.
Key Responsibilities Include:
- Process bi-weekly, in-house payroll using Ellucian Banner software, including:
- Reviewing and processing timesheets and manual adjustments
- Generating payroll registers
- Performing validations to ensure payroll accuracy
- Transmitting direct deposit files to the bank
- Printing and distributing payroll checks
- Support payroll for approximately 1,000+ employees per pay period, including a significant number of student workers
- Remit federal and multi-state payroll tax withholdings in accordance with regulatory deadlines
- Manage payroll filings across multiple states (currently operating in 12 states, with the majority of employees located in Minnesota)
- Prepare and file IRS Form 941, unemployment filings, and required reports for monopolistic state workers’ compensation
- Process off-cycle and manual payroll check requests as needed
- Post payroll-related journal entries using established templates (no accounting background required)
- Respond to employee payroll inquiries and provide customer-service support with assistance from existing payroll staff
- Assist with other payroll-related duties and projects as assigned
Qualifications
Required Qualifications:
- Demonstrated experience or working knowledge of general payroll processes
- High attention to detail with the ability to quickly identify and resolve data errors
- Strong organizational skills and the ability to meet strict deadlines
- Ability to work effectively under pressure in a fast-paced environment
- Intermediate computer proficiency, including experience working with databases or HR/payroll systems
- Strong problem-solving and troubleshooting skills
- Excellent interpersonal and communication skills with the ability to interact professionally, tactfully, and confidentially with a diverse population
- Ability to maintain strict confidentiality of sensitive information
- Ability to successfully pass a background check upon hire
- Experience processing payroll in a multi-state environment
- Familiarity with payroll systems in a higher education or public-sector setting
- Experience working with Ellucian Banner or similar ERP systems
