About the Role
Our recruiting firm is partnering with a well-established beverage distribution and manufacturing organization to identify a Payroll and Benefits Administrator. This position plays a critical role in ensuring accurate, compliant payroll processing for a multi-state workforce of approximately 600 to 750 employees across Minnesota, Wisconsin, and Florida.
This role is primarily focused on payroll administration, with secondary responsibility for benefits administration and employee support. The ideal candidate will have experience processing high-volume payroll, maintaining HRIS data integrity, and assisting employees with payroll and benefits-related questions. Experience with UKG payroll systems is highly preferred.
Job Description
The Payroll and Benefits Administrator is responsible for the administration and maintenance of payroll, HRIS data, and employee benefits programs. This position ensures payroll accuracy, regulatory compliance, and a positive employee experience through responsive employee support and effective program administration.
Key Responsibilities
  • Process payroll accurately and on time for a multi-state employee population of 600 to 750 employees.
  • Maintain payroll records, verify timekeeping data, and reconcile payroll deductions, adjustments, and earnings.
  • Ensure compliance with federal, state, and local payroll regulations across multiple states.
  • Respond to employee payroll inquiries and resolve discrepancies in a timely manner.
  • Maintain employee data within the HRIS and ensure data accuracy and integrity.
  • Troubleshoot HRIS-related issues and coordinate with internal stakeholders and vendors as needed.
  • Generate standard and ad hoc reports to support HR, payroll, and business operations.
  • Administer employee benefits programs, including enrollment, status changes, and terminations.
  • Serve as a resource for employees regarding benefit plans, eligibility, and enrollment processes.
  • Support annual open enrollment activities, employee communications, and benefits administration.
  • Coordinate with benefit vendors to ensure accurate and timely processing of benefit transactions.
  • Prepare and assist with required compliance reporting, including W-2s, ACA reporting, and other regulatory filings.
  • Conduct audits of payroll and benefits data to ensure accuracy and compliance.
  • Collaborate with HR and business leaders to improve processes and enhance the employee experience.

Qualifications
Required
  • High school diploma or equivalent.
  • 3+ years of experience in payroll administration, HRIS administration, human resources, or a related field.
  • Experience processing payroll for a large employee population.
  • Knowledge of multi-state payroll practices and regulations.
  • Experience maintaining employee records and working within HRIS platforms.
  • Proficiency in Microsoft Office, including Excel.
  • Strong attention to detail and organizational skills.
  • Excellent customer service, communication, and problem-solving abilities.
  • Ability to manage confidential and sensitive employee information.
  • Knowledge of payroll compliance requirements, including federal and state regulations.
Preferred
  • Experience with UKG payroll systems.
  • Experience supporting employee benefits administration.
  • Knowledge of ACA, COBRA, FLSA, and related employment regulations.
  • Payroll, HR, or benefits-related certifications such as CPP, PHR, or SHRM-CP.
  • Experience in a manufacturing, distribution, logistics, or consumer goods environment.
