We are hiring on behalf of a leading manufacturer specializing in custom-engineered water treatment systems for municipal, industrial, and commercial applications. As a Purchasing Coordinator, you will play a vital role in ensuring the timely procurement of materials and components essential to the success of complex engineered projects and ongoing production.
Job Description
The Purchasing Coordinator supports the Purchasing Department with a variety of administrative and operational tasks. This includes managing open purchase orders, reconciling invoices, maintaining vendor records, and ensuring timely delivery of materials. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced, collaborative environment.
Key Responsibilities:
- Track and expedite materials for engineered projects, pilot systems, and inventory.
- Communicate with vendors regarding late deliveries and order confirmations.
- Notify internal teams of potential delays based on supplier reports.
- Perform light accounting tasks, including invoice data entry and reconciliation.
- Monitor and replenish inventory levels as needed.
- Maintain and update supplier records, including W9s and insurance certificates.
- Order and manage office supply inventory.
- Support project documentation and folder maintenance.
- Collaborate with Receiving and Production teams to resolve open order issues.
- Assist with reviewing open PMRs (Purchase Material Requests) for the team.
- Perform other duties and projects as assigned.
Qualifications
Required Qualifications:
- Associate degree or equivalent from a two-year college or technical school, or 1–2 years of relevant experience.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office and internet-based tools.
- Ability to interpret business documents and technical procedures.
- Basic math skills, including percentages and geometry.
- Strong organizational and problem-solving abilities.
- Ability to follow written and verbal instructions.
- Experience with inventory or order processing software (InFlow preferred).
- Familiarity with purchasing or supply chain processes in a manufacturing environment.
Physical Requirements
- Regularly required to sit, use hands, and communicate clearly.
- Frequently required to reach with arms and hands.
- Occasionally required to stand, walk, and lift up to 25 lbs.
- Visual acuity for close and distance vision, color differentiation, and depth perception.
