About the Role
Our client, a leading national retailer known for its innovative and high-volume creative production environment, is seeking a Sample & Props Coordinator to support photo, video, and marketing productions. This role is responsible for ensuring product samples and props are organized, accessible, and production-ready throughout the entire lifecycle. Working onsite and cross-functionally with production, marketing, merchandising, and logistics teams, this individual plays a key role in delivering seamless creative execution while maintaining strong inventory control and operational efficiency.
Job Description
The Sample & Props Coordinator manages the end-to-end handling of samples and props used in creative productions, ensuring accuracy, organization, and readiness at all times. This position supports both internal and external productions by coordinating inventory, maintaining systems, and partnering with key stakeholders to meet production timelines.
- Coordinate and execute sample and prop pulls based on production schedules, inventory availability, and business priorities while resolving competing needs
- Receive, inspect, validate, organize, distribute, track, and oversee the return of samples and props throughout the production lifecycle
- Schedule and coordinate stylist appointments, ensuring timely checkout, delivery, and return of inventory
- Maintain accurate physical inventory and system records within inventory management platforms to ensure data integrity and production readiness
- Monitor inventory health by maintaining representative assortments, replenishing approved items, and managing obsolete or inactive inventory disposition
- Generate and analyze inventory reports to support planning, replenishment, and space utilization decisions
- Partner with logistics teams to coordinate packing, shipping, receiving, and transportation for studio productions across multiple locations
- Process inbound inventory, perform intake, and complete post-production validation by inspecting and returning items to active inventory
- Support ongoing inventory operations including audits, cycle counts, returns, rotation, and warehouse organization
- Collaborate with technology teams to maintain system accuracy and improve database integrity and workflows
- Identify and implement process improvements to enhance efficiency and maintain operational standards
- Build strong partnerships with cross-functional teams, vendors, and stakeholders to ensure inventory is organized and production-ready
- Deliver high-quality customer service to support creative production teams across all marketing channels
- Perform physical inventory tasks, including lifting and moving items weighing up to 20 pounds
Qualifications
Required Qualifications:
- Experience supporting inventory management, sample coordination, or production operations in a retail, studio, marketing, or similar environment
- Proficiency in Microsoft Office, including Excel
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple priorities, meet deadlines, and adapt in a fast-paced, production-driven environment
- Excellent communication and cross-functional collaboration skills
- Knowledge of shipping, receiving, logistics coordination, and inventory control processes
- Ability to accurately maintain inventory records and system data
- Strong problem-solving skills with the ability to anticipate needs and resolve inventory challenges
- Customer-focused mindset with a commitment to supporting internal and external partners
- Ability to work onsite and perform physical tasks, including lifting up to 20 pounds
- Experience using inventory management systems such as Pegasus or similar platforms
- Background in high-volume retail or studio production environments
- Familiarity with creative production workflows, including photo and video shoots
- Continuous improvement mindset with experience identifying and implementing process enhancements
